Because it lays the foundation for all further steps in the project, it is important to have as many people involved as possible participate.<\/p>\n<p>A kick-off event can <strong>vary greatly<\/strong> in scope and depends heavily on <strong>the size and length of the project<\/strong> and, of course, on how many people are involved in the project. A project kick-off for a new marketing slogan will have a completely different framework than the annual kick-off for the sales team.<\/p>\n<p>The meeting usually takes <strong>at least 2-3 hours<\/strong>, but often a <strong>whole day<\/strong>.<\/p>\n<p>As just mentioned, a kick-off can also herald the start of the new financial year, so it does not have to be used only for a project. Some companies also hold an internal kick-off meeting when new departments or teams are formed.<\/p>\n<p><strong>Why is it advisable to organise a kick-off event?<\/strong><\/p>\n<p>On the one hand, it is essential to inform all participants at the start of a project. This ensures that the whole team starts with the same level of knowledge regarding processes and deadlines, and that there are no ambiguities or misunderstandings.<\/p>\n<p>But it also clearly boosts a team&#8217;s performance, because people can get to know each other during the meeting, but also in the unofficial parts (before and after the meeting). If we look at the <strong>phases of a team<\/strong>, as defined by <a href=\"https:\/\/de.wikipedia.org\/wiki\/Teambildung#Phasenmodell_nach_Tuckman_und_Klotz\" target=\"_blank\" rel=\"nofollow noopener\">Tuckman<\/a>, it is particularly important in the <strong>first phase<\/strong>, the <strong>storming<\/strong> phase, to take time to establish <strong>informal<\/strong> and <strong>formal rules and norms<\/strong> within the team. From the outset, discussions are completely unstructured and both the content and timing of the meeting get completely out of hand. In the end, everyone leaves without knowing what to do next.<\/p>\n<p>This would be the worst-case scenario for a kick-off meeting, which is why <strong>thorough preparation<\/strong> is essential. Only if there is an agenda with a time frame and the meeting is <strong>moderated professionally and clearly<\/strong> can it be a success. Even more important is to consider during the preparation: &#8220;What should be the outcome of this meeting?&#8221; This does not mean what tasks will result from the meeting. However, one outcome could be that tasks and responsibilities are defined.<\/p>\n<p>Above all else, however, is the question: &#8220;What is our goal with this kick-off meeting?&#8221;<\/p>\n<p>Is it about <strong>getting to know each other<\/strong> and <strong>networking<\/strong> among the participants? Should the main focus be on the <strong>project goals<\/strong> and communicating the project process in order to bring all team members up to speed? Are there any <strong>specific uncertainties<\/strong> or <strong>challenges<\/strong> that need to be addressed <strong>right away<\/strong>? Should <strong>responsibilities<\/strong> be divided up?<\/p>\n<p>Answering these questions will enable you to formulate one or more objectives for the meeting. The managers and employees were therefore facing major changes and now needed to be taken on this journey and actively involved in the change process. It was essential for us to create a clear and motivating starting point so that the change could be successful.<\/p>\n<h4>Our implementation:<\/h4>\n<p>Together with a project team from the client, we developed an <strong>interactive kick-off format<\/strong> at a <a href=\"https:\/\/www.bitou.de\/partnerhotels\/\">partner hotel<\/a> in Germany, which was tailored precisely to the client&#8217;s needs.<\/p>\n<p>In the <strong>morning<\/strong>, we started with a small welcome buffet and a <a href=\"https:\/\/www.bitou.de\/en\/team-event\/wup\/\">short warm-up<\/a> as an <strong>icebreaker<\/strong> and for <strong>networking<\/strong> for all employees.
