What do I need to consider when planning a company outing?

Participants’ expectations are as varied as the people themselves: Mr. Smith loves action, Mrs. Maier wants coffee and cake. As much fun as bowling was last year, the company outing should never be a carbon copy! And what if it rains?
What you should definitely keep in mind:

  1. All colleagues should be able to participate – avoid extreme experiences, consider disabilities, take fears seriously (e.g. fear of heights; a high ropes course is not suitable for everyone).
  •  Do some internal marketing – even a company outing needs to be sold to the target group (employees). Get people excited about the company outing with an invitation that piques their curiosity, a fun programme and a transparent agenda
  •  Participation in the company outing is voluntary – if a company outing takes place during working hours, employees who do not participate must work as normal. Anyone who calls in sick needs a certificate of incapacity for work
  •  The costs of the company outing are usually covered by the employer (no obligation). There is an allowance limit of 110 euros (gross) per participant for a maximum of two company outings per year. Our tip: Training events are not affected by this regulation and have no tax cost limit
  •  Statutory accident insurance cover is provided by the employers’ liability insurance association if the event is a company event. A clear and communicated agenda defines the time frame for the “company” part. Participants who are not members of the workforce (e.g. invited family members) are not insured. Gross negligence, such as heavy alcohol consumption, is also excluded.
  •  Avoid holiday periods and long weekends – choosing a good date increases the number of participants and acceptance.
  •  Outdoors in summer, indoors at other times – When planning outdoor activities, consider a bad weather option. Heat and direct sunlight should also be taken into account. If you want to be on the safe side, plan indoors.
  •  Allow sufficient time for communication – deliberately build breaks into the programme so that there is enough time for discussions between participants.
  •  A company outing is a way of showing appreciation for your staff – you should plan with this mindset in mind
