What does a kick-off event really achieve? And how can you ensure a motivating start to a project or year for your team in 2026? The kick-off meeting marks the start of a project or a new year. Because it lays the foundation for all further steps in the project, it is important to have as many people involved as possible participate.
A kick-off event can vary greatly in scope and depends heavily on the size and length of the project and, of course, on how many people are involved in the project. A project kick-off for a new marketing slogan will have a completely different framework than the annual kick-off for the sales team.
The meeting usually takes at least 2-3 hours, but often a whole day.
As just mentioned, a kick-off can also herald the start of the new financial year, so it does not have to be used only for a project. Some companies also hold an internal kick-off meeting when new departments or teams are formed.
Why is it advisable to organise a kick-off event?
On the one hand, it is essential to inform all participants at the start of a project. This ensures that the whole team starts with the same level of knowledge regarding processes and deadlines, and that there are no ambiguities or misunderstandings.
But it also clearly boosts a team’s performance, because people can get to know each other during the meeting, but also in the unofficial parts (before and after the meeting). If we look at the phases of a team, as defined by Tuckman, it is particularly important in the first phase, the storming phase, to take time to establish informal and formal rules and norms within the team. This helps the team move more quickly into the next phases and, through norming, into the performance phase, where a team functions optimally.
Furthermore, if the kick-off is well planned and clearly moderated, it fosters team spirit and motivation to successfully complete a project.

We will all encounter this in our professional lives, or have already encountered it: meetings that have not been prepared. From the outset, discussions are completely unstructured and both the content and timing of the meeting get completely out of hand. In the end, everyone leaves without knowing what to do next.
This would be the worst-case scenario for a kick-off meeting, which is why thorough preparation is essential. Only if there is an agenda with a time frame and the meeting is moderated professionally and clearly can it be a success. Even more important is to consider during the preparation: “What should be the outcome of this meeting?” This does not mean what tasks will result from the meeting. However, one outcome could be that tasks and responsibilities are defined.
Above all else, however, is the question: “What is our goal with this kick-off meeting?”
Is it about getting to know each other and networking among the participants? Should the main focus be on the project goals and communicating the project process in order to bring all team members up to speed? Are there any specific uncertainties or challenges that need to be addressed right away? Should responsibilities be divided up?
Answering these questions will enable you to formulate one or more objectives for the meeting. Once these objectives have been set, the follow-up can be used to review whether the kick-off was a success or where there is room for improvement.
We recommend that the objectives be formulated using the SMART method so that they are achievable but can also be easily measured.
Once the planning stage has clarified who should attend the kick-off event, the aim during the kick-off is to involve those present as much as possible. Only then will everyone leave the meeting with clear information and added value, making it worthwhile for everyone.
An icebreaker is a good way to get the kick-off meeting off to a successful start. Some of those present will hardly know each other, if at all, while others may have been working together for years. A relaxed start with a warm-up creates a positive atmosphere and allows the project participants to get to know each other. This builds trust.
The project certainly requires various specialist knowledge, which the participants bring with them. So why not let the participants design individual parts of the programme or develop content topics in a World Café? Psychologically, too, the involvement and intellectual engagement with the topics creates a feeling of belonging in each participant and at the same time ensures a high level of acceptance of the goals and expectations.
In our experience, it is very useful to fill out a project kick-off canvas together to make the project transparent and tangible for all participants in all its facets. If the canvas is shared internally with the team on a pinboard in the office or virtually on a Sharepoint, all team members can access the information after the launch. A medium-sized trading company with around 200 employees approached us to organise a full-day kick-off event for the start of the year.
A comprehensive reorganisation of the company was launched – new structures were created and new markets were to be tapped in order to future-proof the company. The managers and employees were therefore facing major changes and now needed to be taken on this journey and actively involved in the change process. It was essential for us to create a clear and motivating starting point so that the change could be successful.
Together with a project team from the client, we developed an interactive kick-off format at a partner hotel in Germany, which was tailored precisely to the client’s needs.
In the morning, we started with a small welcome buffet and a short warm-up as an icebreaker and for networking for all employees. Afterwards, the new strategic goals and framework conditions were presented in a moderated discussion with our moderator and the board members.
The discussion, as well as the entire kick-off, was visually recorded by a partner from our network using graphic recording.
Afterwards, the employees began developing initial ideas and concrete solutions for change – and the role of each individual in this change process – in a World Café.
The afternoon was all about team building:

We then collected feedback and specific work steps from all participants with digital support using Mentimeter.
The result was noticeably greater clarity, high motivation and a sense of unity among all employees. A perfect basis for the upcoming changes.
The managers particularly appreciated the team dynamics and concrete to-dos, which made this kick-off valuable on many levels and brought a clear return on investment.
